Admin Support Officer Adults

About Us

A vacancy has arisen within the Business Support and Adults Admin Support Service (AASS) Adult Social Care and Public Health directorate. We are looking for an Admin Officer who is well-organised, motivated, and flexible individual to fill a full-time (36hrs) post within the Business Resources Division, Adult Social Services, located in Richmond (Twickenham). 

The successful candidate will be required to provide key support service to front line operational areas. You would be part of a team lead by the Assistant Team Manager in the provision of a resilient administrative service.

The post requires the successful candidates to work flexibly within the team, covering for colleagues as required.

The role is varied and requires proven admin experience with excellent IT skills including very good knowledge of Microsoft Office 365 package. The post holder will need to have high level of communication skills, an eye for detail and an ability to self-manage competing priorities daily. This can be a fast-paced role and can provide the right candidate with a fantastic opportunity to take on new skills, knowledge and experiences which can help support further career progression. In this role you will be:

1. Dealing with internal customers, by phone, email and face-to- face, resolving queries at first point of contact, where possible, including dealing with matters of a sensitive and confidential nature.

2. Sending documents (letters, etc.) on behalf of colleagues via shared mailbox or system database

3. Meeting preparation, including booking rooms, inviting delegates, ordering refreshments, preparing, and distributing documentation

4. Producing a variety of high-quality documentation (advanced word, excel), accurately and to deadline.

5. To provide support for Panel meetings, booking rooms, managing invitations via outlook, and attendance rotas. Provide accurate and timely meeting notes/minutes and actions. 

6. To update and maintain databases accurately, collating statistical information and reports as directed, including social care databases.

7. To undertake daily administrative tasks, such as managing and delegating from a shared electronic mailbox, booking interpreters, translation, scanning, photocopying, stationery supplies, as required.

8. Process invoices, raising purchase orders, track receipts via the finance online system data base and deal with queries.
