The Role

As Office Manager, you will play a pivotal role in ensuring the administrative functions of Bolingbroke Academy run efficiently and effectively. You will oversee the administrative staff, data and digital team, front office, and exam processes. You will be responsible for all Communication from the school and ensuring clear and effective communication with parents.

Reports to: HR and Operations Manager

Start date: December 2021                         

Salary: Band 8 Point 19-29 £30,076 – £35,948

Working hours: 40 Hours per week 8am – 5pm – Including 2 weeks during school holidays.

Key Responsibilities

Administrator

  • To manage all our data management and communication systems such as Bromcom and MCAS.
  • To control the quality of external correspondence, ensuring all communications home contain accurate information, are easy to follow and do not contradict other directions.
  • To ensure that all enquiries and correspondence are dealt with promptly and effectively, in a manner that promotes a positive image of the Academy.
  • To manage the yearly new pupil intake and in year pupil admissions, overseeing all the associated admin and records.
  • To organise the admin elements of key events in the Academy calendar such as Open Evening, Parents Evenings, and vaccinations.
  • To manage the attendance procedures of the academy to ensure accurate data capture and all procedures are followed up.
  • To manage the exams officer to ensure all exams are conducted correctly and following strict guidelines and that the integrity of the process is maintained.

Data and digital Management

  • To manage all areas of data input, output, and integrity within Bromcom including attendance, reporting, census returns, admissions/leavers, exclusions, timetabling implementation, student details, importing examination data, maintaining assessment systems, and recording pupils’ special needs
  • To assist in collating, monitoring data capture, reporting to stakeholders ensuring accurate, relevant, and timely provision of data reports
  • To manage the data systems and ensure they are being used to maximum capacity.
  • To ensure data is accurate within all databases, updated appropriately for academic year groups in a timely manner.

Staff Development

  • To support the development and training of office/admin staff, ensuring that their career and professional development needs are met.
  • To act as Performance Manager for members of the admin team, carrying out probation reviews, line management and appraisals in line with the Academy’s policy and setting challenging and appropriate targets
  • Participate in recruitment, selection and induction processes relating to the administrative team.
  • To ensure effective induction of new staff in line with Academy procedures.
  • To promote teamwork and to motivate staff to ensure effective relations
  • To be responsible for the deployment of staff and the day-to-day management of colleagues, acting as a positive role model.

Health and Safety

  • To ensure suitable and sufficient first aid cover is available throughout the academy’s opening hours, organising training, and maintaining records and first aid supplies
  • To organise and monitor the administration of medication and ensure its safekeeping.

Other

  • Actively promote the safety and welfare of our children and young people
  • Ensure compliance with Ark’s data protection rules and procedures
  • Liaise with colleagues and external contacts at all levels of seniority with confidence, tact and diplomacy
  • Work with Ark Central and other academies in the Ark network, to establish good practice throughout the network, offering support where required

Personal Specification

Required

  • Experience of having worked successfully in at least one large primary or secondary school.
  • Experience of running and managing an effective administrative, clerical and data departments.
  • Experience of school’s data systems (Bromcom/CCR/School cloud etc)
  • The ability to lead, coach and motivate staff within a performance management framework, providing professional development and effectively challenging and managing any underperformance.
  • The ability to work well under pressure
